How To Schedule Data Export In Salesforce?

Salesforce Data Export:
            Salesforce has a beautiful built in User friendly tool Data Export. Data Export lets you prepare a copy of all your data in Org. Using Data Export tool to you can start the export process manually or schedule it to run automatically.  Now follow me to do this easily.

Step:1
Click  Setup --> Data Management -->Data Export.

Step:2
         After Click on data export you can see two buttons.Export now and Schedule Export. We will see each one.
Export Now:
 The Export now option prepares your data for export immediately. This option is available only some times that store only last export data records. Go ahead and click on Export Now.


  1. Export File Encoding: It's for export file format to download data.Just leave it as default.
  2. Include images, documents, and attachments: It's asking you wanna export images, documents and attachments to related records.
  3. Include Chatter files and Salesforce CRM Content document versions: It's for chatter related content. if you wanna it check the the check box right of this.
  4. Replace carriage returns with spaces: Check this box. Because it's for  Replace carriage returns with spaces.
  5. Include all data: If you want to export your all org data check this check box.(Or)
  6. You don't want entire org data, you want only like account, contacts and lead data.you can simply select the account, contacts and leads check boxes.
  7. After select of your data , click on Start Export.
Step:3
It will display  a message like "Your export has been queued. You will receive an email notification when it is completed." You will get a email. then refresh this page to get a download link.

Next_Schedule_export

We no need to do every week. You can schedule this every week. Click on schedule to schedule it.

      we no need to worry about taking data every week or month. we can simply automate this export process. follow the below simple steps to schedule it.
Step:4
Click on set up-->Data management-->Data Export-->Schedule Export.

Again do the same step2 process.and add aditionally scheduling the frequency. look at the below to understand the process.

  1. Frequency: Select the day of the every month or Week of the month to Export data.
  2. Start and End date of the data Export.
  3. Preferred Start Time: What is the good time to start export the data.
  4. Then click on Save Button to done the schedule export of the Data.
Step:6
Like step:3, It will display  a message like "Your export has been queued. You will receive an email notification when it is completed." It will show the next scheduled time.
